POLICY OVERVIEW

At Digital Coaching 360, we are deeply committed to the satisfaction and success of every client. We invest significant time, expertise, and resources into each project we undertake, and we take great pride in the quality of our deliverables.

This Refund Policy outlines the conditions under which refunds may be issued for our digital services, including Web Development, SEO, UI/UX Design, WordPress Development, Video Editing, and Digital Marketing. By engaging our services and making any payment, you agree to the terms outlined in this policy.

Important: Because digital services involve significant time, labour, and intellectual resources, refunds are evaluated on a case-by-case basis. We strongly encourage all clients to review project scopes, milestones, and deliverables thoroughly before making payments.

We believe in fair and transparent business practices. If you are ever dissatisfied with our work, we ask that you communicate with us first so we can resolve the issue before a refund request is necessary.

REFUND ELIGIBILITY

You may be eligible for a full or partial refund under the following circumstances:

✅ Full Refund Eligible: If Digital Coaching 360 cancels or is unable to begin a project after payment has been received, and no work has commenced, a full refund will be issued within 7 business days.

🔄 Partial Refund Eligible: If a project has been partially completed and you choose to cancel, a partial refund may be issued based on the percentage of work remaining — minus any completed milestones, third-party costs, or hours already invested.

❌ Not Eligible for Refund: Completed work, approved deliverables, launched projects, purchased software licences, domain registrations, hosting fees, or third-party plugin/tool subscriptions procured on your behalf are non-refundable under any circumstances.

Refund requests must be submitted within 14 days of the initial payment or the specific milestone payment in question. Requests submitted after this period will not be considered unless Digital Coaching 360 has materially failed to deliver the agreed scope.

For monthly retainer services (SEO, Social Media), refunds apply only to the current billing cycle if cancellation is requested within the first 7 days of that cycle. Completed months are non-refundable.

NON-REFUNDABLE ITEMS

The following are explicitly non-refundable regardless of circumstances:

Approved & Delivered Work
Any deliverable that has been reviewed, approved, and accepted by the client — whether in writing, via email, or verbally — is considered complete and non-refundable. This includes design mockups, developed pages, edited videos, and written content.

Third-Party Expenses
Domain registrations, hosting subscriptions, premium WordPress themes/plugins, stock photo licences, advertising spend (Google Ads, Meta Ads), and any other third-party costs procured on the client’s behalf are non-refundable as they are governed by the respective third-party’s own refund policies.

Completed Retainer Months
For monthly SEO, social media, or digital marketing retainer services, any month that has already begun or been fully delivered is non-refundable. Cancellations take effect at the end of the current billing cycle.

Launched or Published Projects
Once a website, campaign, or project has been launched, published, or made live — even in a testing or staging environment with client approval — it is considered delivered and no refund will be issued.

Client-Caused Delays or Cancellations
If a project is delayed or cancelled due to the client’s failure to provide timely feedback, required assets, or necessary access credentials, no refund will be issued for work already completed or time already invested by the Digital Coaching 360 team.

HOW TO REQUEST A REFUND

If you believe you are eligible for a refund, please follow the process below. We ask that all refund requests be submitted formally to ensure they are handled promptly and fairly.

1 Contact Our Support Team
Send an email to hello@digitalcoaching360.com with the subject line “Refund Request – [Your Project Name]”. Include your full name, invoice number, date of payment, the service in question, and the reason for your refund request.
2 Initial Review & Acknowledgement
Our team will acknowledge your request within 2 business days. We may ask for additional information or clarification to properly assess your case. We are committed to reviewing every request fairly and thoroughly.
3 Assessment & Decision
We will review the work completed, milestones reached, communications exchanged, and the specific reason for your request. Our team will assess the situation and provide a written decision within 5–7 business days of receiving all required information.
4 Resolution
If your refund is approved, we will process it to your original payment method. If a partial refund is determined, we will provide a clear breakdown of the amount and reasoning. If the request is declined, we will explain the reasons in writing and offer alternative resolutions where possible.

PROCESSING TIMELINE

Once a refund has been approved, processing times vary depending on your payment method:

Please Note: Digital Coaching 360 is not responsible for delays caused by your bank, payment processor, or financial institution. Once a refund is processed on our end, the timeline is outside of our control.

CHARGE BACKS & DISPUTES

We strongly encourage clients to contact us directly before initiating any chargeback or payment dispute with their bank or payment provider. We are always willing to work towards a fair resolution and will respond promptly to any concerns raised.

Initiating a chargeback without first contacting Digital Coaching 360 may be considered a breach of this agreement and could result in the immediate suspension of all services and the recovery of completed deliverables. We reserve the right to contest any chargeback with full documentation of work completed, communications, and payments received.

Chargeback Policy: If a chargeback is initiated and subsequently found to be invalid or fraudulent, Digital Coaching 360 reserves the right to recover the full value of services rendered, plus any chargeback fees incurred, through appropriate legal channels.

POLICY MODIFICATIONS

Digital Coaching 360 reserves the right to modify this Refund Policy at any time. Any changes will be published on this page with an updated “Last Updated” date. Continued use of our services after any changes constitutes your acceptance of the revised policy.

We recommend reviewing this policy periodically and before making any new purchase. For major changes, we will endeavour to notify active clients via email at least 14 days in advance.
